The Donor Relations Associate at Great Lakes Theater is an emerging arts administration professional who supports the range of fundraising and organizational activities performed by Great Lakes Theater’s Development Office. Reporting to the Director of Development, the Donor Relations Associate is an integral member of the company's highly-collaborative administrative team.
DUTIES & RESPONSIBILITIES
1. Gift Processing, Donor Records and Database Management
-Manages all donor data entry procedures for GLT’s Raiser's Edge database system.
-Maintains accurate donor records in Raiser's Edge database and synchronizes updates with other in-house databases (i.e. Finance & Accounting, Marketing).
-Promptly receives, processes and acknowledges all contributed income using industry best practices.
-Initiates/prepares monthly membership renewals and pledge reminder mailings.
-Assists Director of Development and Development Manager with mailings, including list generation and mailing compilation.
-Serves as the primary resource person for Great Lakes Theater’s Raiser's Edge database including overseeing upgrades, licensing and training subscriptions.
-Generates analytics for contributed income reports and dashboards.
2. Donor Relations and Event Coordination
-Serves as the frontline, first-stop resource for donor and patron questions and issues, and for Development Office events.
-Ensures that donor benefits are fulfilled in a timely fashion for all Development Office programs.
-Assists with maintaining accurate donor recognition listings in the Playbill, Hanna Lobby and Hanna Theatre listings, Education department publications, and others.
-Assists with ticket sales and exchanges for trustees and donors, working closely with Playhouse Square ticket sales and Great Lakes Theater’s Marketing Department.
-Develops, coordinates, and staffs Development Office and other organization events including opening night parties, patron and corporate functions, and annual fundraising events.
-Works with volunteer committee and others to secure auction items for annual benefit, including identification, packaging and fulfillment.
-Supervises event program design and production process.
-Supervises deliverables from event contractors (caterers, etc.) to ensure smooth execution of planned events.
3. Administrative Support
-Maintains the Development Office calendar with key project and event deadlines.
-Provides administrative support to the Director of Development, Executive Director, trustee Development Committee and volunteer event committee members, as needed.
-Evaluates and filfills ticket donation requests according to GLT policy.
-Administers, processes and fulfills company/cast com and paid ticket reservations.
-Coordinates and supervises office volunteers and interns to implement organizational projects.
-Coordinates with external vendors to serve needs of department and organization functions, including (but not limited to) Playhouse Square personnel, other venue owners, caterers, mail houses, printers, suppliers, etc.
-Maintains an adequate inventory of stationery, brochures and other literature for projects and mailings.
-Bachelor’s degree in related field (business, nonprofit management, and/or arts)
-1-3 years minimum experience in an office environment, preferably a nonprofit marketing or development department
-Proficient in MS Office 2010 with a knowledge of Publisher or other desktop publishing software helpful
-Familiarity with database software, preferably Raisers’ Edge fundraising software
-Experience with ticketing and/or ticket-based software (Paciolan prefered)
-Excellent communication skills (oral and written)
-Excellent interpersonal and problem-solving skills, with a customer-service orientation
-Highly organized, with strong attention to detail and accuracy
-Ability to thrive in a fast-paced, team environment

Starting salary for this position is competitive. Great Lakes Theater (GLT) is seeking applicants for an experienced Properties Master. This unique position offers an Artist the opportunity for year-round work with GLTF and our partner theaters, Idaho Shakespeare Festival and Lake Tahoe Shakespeare Festival.
Applications will be accepted from qualified candidates interested in full-time, year round employment or for parties interested in applying for seasonal work. The Properties Master will collaborate with an artistic team of professional directors and designers along with production staff to create and procure all furniture, props, and set dressing for each production. Candidates should possess skills in theatrical building techniques, furniture construction, sewing, upholstery, painting and specialty props fabrication. The position also leads and manages a small team of props artists and oversees budgets. Candidates should have strong organizational and time management skills, be able to communicate effectively across all departments, and thrive in an active, fast-paced environment. Great Lakes Theater (GLT), Cleveland’s professional classic theater company at Playhouse Square, seeks a self-motivated, people/detail-oriented and energetic individual who possesses excellent communications skills to join its creative/collaborative team.
The position works with the company’s Director of Marketing and Strategic Advancement to engage new and existing audiences and exceed earned income goals by cultivating/activating relationships with targeted audience segments, businesses, community organizations and promotional partners.
The position also produces a series of audience engagement events, coordinates the editorial process for all institutional playbill publications, manages the operations of an on-site gift shop and curates/develops content for the company’s website and social media networks.
Candidates must have a bachelor’s degree and two or more years of experience in any/many of the following related areas: sales, special event planning, community outreach, marketing, writing/editing. Experience with ticketing and/or ticket-based software is a plus as is a demonstrated background in creating/publishing video content online and basic graphic design.
